The Step-by-Step Production Process
Our OEM straw hat production process combines expert pattern engineering with streamlined manufacturing to bring your custom designs to life quickly and accurately.
1. Requirement Submission
Send your designs, logos, and material specs to the supplier for initial review.
2. Design & Quotation
Approve the digital mock-up and the final price quote provided by the vendor.
3. Sample Approval
Pay for a sample to verify quality through photos or physical delivery.
4. Secure Payment
Finalize the order and pay via Trade Assurance to initiate bulk production.
5. Mass Production
Manufacturing takes 20-30 days, including strict quality control inspections.
6. DDP Delivery
After confirming the final photos,

Production Lead-Time Table
Lead time starts after PP sample approval and deposit received — not from RFQ date.

Rush surcharges apply to production only — they do not compress sample turnaround or courier transit time. If your in-hands date is fixed, work backward from it and flag the constraint in your RFQ.
Sample Policy
- Available sample (existing stock style, no logo): Free. Ships within 3 days. Buyer pays courier cost.
- PP sample (your full custom spec): Free if bulk order proceeds. If no order follows, USD 50–80 is deducted from the refund or invoiced separately.
- Sample-only requests (no bulk intent): Quoted per item — typically USD 80–150 per sample plus courier.
- Revision rounds: 1 free round included. Additional rounds USD 30–50 each.
- Sample turnaround: 3 days from spec lock (all 5 decisions confirmed + logo file received).
Payment Terms
Currency: USD. Full wire instructions provided on the Proforma Invoice. Prices are FOB Ningbo or Shanghai by default unless otherwise agreed.

PayPal is available for small orders but carries a 4% processing fee — T/T is preferred. L/C at sight is accepted for orders above USD 5,000; L/C charges are at buyer’s account. Trade Assurance orders are processed through our verified Alibaba storefront.
Quality Control
Every order includes an in-line QC check during production and an AQL 2.5 pre-shipment inspection at no extra charge. AQL 2.5 means we accept a lot if the defect rate is below 2.5% on a statistically valid sample — this is the standard for apparel and accessories exports. If you require a stricter standard or a third-party inspector on-site, flag it at the RFQ stage. Third-party inspection (SGS / Bureau Veritas / Intertek) runs USD 250–400 per inspection day and is coordinated by us but billed to you. Common Mistakes That Delay Orders
- Sending logo as a low-res JPEG. We’ll request a vector file before quoting. A raster logo at 72 dpi cannot be digitized for embroidery or reproduced cleanly on a patch. Have AI / EPS / PDF ready.
- Approving the PP sample verbally. Production does not start on a phone call or a “looks good” message. Written approval — email is fine — is required. Verbal approvals that aren’t followed up in writing add days of back-and-forth.
- Wiring the deposit to the wrong bank account or in the wrong currency. Use only the bank details on the Proforma Invoice. Do not use details from a previous order — banking details can change. Wire in USD unless the PI specifies otherwise.
- Skipping the material swatch review and rejecting bulk for handfeel. Screen photos do not convey texture or weight. If handfeel matters for your program, request a free material swatch set before approving the PP sample.
- Underestimating courier transit time on PP sample approval. DHL to the US or EU is typically 3–4 days, but customs clearance can add 1–3 days. Build this into your timeline — the sample approval window (Day 6–10) assumes normal transit.
- Requesting a destination port we don’t FOB to without flagging it early. We FOB from Ningbo and Shanghai. If your freight forwarder requires a different origin port, tell us at the RFQ stage so we can quote accordingly.
What We Need From You — RFQ-Ready Checklist
Have these ready before submitting your quote request. Items marked Required block the quote; Recommended items prevent revision rounds.

- All 5 specs locked: material, logo method, under-brim treatment, brim edge color, buckle choice
- Logo file — vector (AI / EPS / PDF with outlined paths) or 300 dpi PNG at actual print size
- Pantone references for all brand colors (logo, brim edge, under-brim if solid)
- Quantity per SKU per colorway (MOQ 50 per SKU)
- Target ex-factory date or in-hands date + destination port
Recommended:
- Incoterm preference — FOB (default) / EXW / CIF
- Inspection requirement — internal AQL 2.5 (standard) / third-party (specify agency)
- Under-brim artwork file if sublimation — 300 dpi, CMYK, bleed included
- Hat style and size range — S/M/L or one-size-fits-most; head circumference range
- Packaging spec — plain polybag / branded polybag / retail box
